At a basic level, both platforms include:

Microsoft 365 Business Standard (which includes full desktop Word, Excel, and PowerPoint) runs $12.50/user/month. Google Workspace Business Standard is $12/user/month — but Google doesn’t offer native desktop apps with the same feature depth.

**The real question:** Do your employees need desktop Office? If your staff opens complex Excel models or heavily formatted Word documents, the desktop apps matter. If they can live in a browser, Google is a strong value at the same price point.

## Compliance: Microsoft Has the Edge for Regulated Industries

If your business handles protected health information, legal client files, or financial records — this section matters more than any other.

Microsoft 365 offers a Business Associate Agreement (BAA) for healthcare, SOC 2, FedRAMP, and HIPAA compliance certifications, plus built-in data loss prevention (DLP) tools available at the Business Premium tier. For a dental office in Magnolia, a law firm in The Woodlands, or a CPA practice in Tomball, Microsoft gives you more compliance controls out of the box.

Google Workspace also provides a HIPAA BAA and SOC 2 certification. It’s a compliant option. But when you compare the depth of audit logging, eDiscovery capabilities, and granular access controls at similar price points, Microsoft 365 is ahead. If you’re in a regulated industry and cost is roughly equal, go Microsoft.

## Integration: Microsoft Wins for Windows-Heavy Environments

If your office runs Windows computers, uses industry-specific software (QuickBooks, legal practice management tools, dental or medical billing software), or has an existing server infrastructure — Microsoft 365 integrates more cleanly.

It connects directly with:

– **Active Directory** — for centralized user account management
– **SharePoint** — for team document libraries and intranet pages
– **Microsoft Intune** — for managing company devices (Windows, Mac, mobile)
– **Azure AD** — for single sign-on across business apps

## Google Workspace: Built for Browser-First, Collaborative Teams

Google Workspace is the stronger choice when real-time collaboration and simplicity matter more than deep integration with existing software.

It’s worth choosing if:

– Your team works from multiple devices or locations
– Collaboration — editing the same document simultaneously without versioning headaches — is a daily need
– You want lower IT overhead; Google Workspace is significantly easier to administer than a Microsoft 365 tenant
– Your business doesn’t have heavily formatted documents that require the full Microsoft desktop apps

Google Meet has matured enough to handle business video calls without issues. Google’s admin console is clean and fast to navigate. For a small, lean team that doesn’t have a dedicated IT person, that simplicity has real value.

## Support and Security: What Nobody Warns You About

Both platforms have vendor support. Neither provides what small businesses actually need: someone who knows your specific environment and picks up the phone when something breaks.

More importantly, **both platforms require proper configuration to be secure**. A Microsoft 365 tenant with default settings is not a secure Microsoft 365 tenant. Multi-factor authentication needs to be enforced (not just enabled). Conditional access policies need to be configured correctly. Email filtering and spam protection need tuning.

A misconfigured Microsoft 365 environment — or a Google Workspace account where users forward email to personal Gmail addresses — creates real security exposure. We’ve seen it cost Houston businesses tens of thousands of dollars in breached accounts and compromised client data.
