Titan Metal Fabrication — Email migration

Challenge

Titan Metal needed to migrate thousands of mailboxes from Google Workspace to Microsoft 365 while keeping line-of-business email flowing and preserving complex folder structures. The organization had several custom labels and email routing rules that had to be mapped carefully to ensure business continuity.

Solution

We designed a staged migration plan with the following elements:

  • Discovery and mailbox readiness assessment to identify large mailboxes, shared mailboxes, and routing rules.
  • Coexistence setup for mail routing during cutover and calendar sharing verification.
  • Use of BitTitan MigrationWiz as the primary migration platform, with TransVault for complex archive migrations and IMAP connectors only for legacy systems where necessary.
  • Pilot group migration, validation of searchability, and iterative adjustments before broad rollout.
  • User communication templates, training sessions, and a helpdesk surge plan for the cutover window.

Results

  • Planned administrative downtime limited to scheduled cutover windows (under 2 hours for final sync).
  • Complete preservation of historical email and folder structure for 99.9% of migrated accounts.
  • User-reported issues during the transition were minimal due to clear communication and staged pilot testing.
